    Any employee you want to add to your Organization in Crew must be invited to join the app. It’s easy to invite new coworkers to join, and you can do it in several different ways.

    Ways to Add Coworkers

    • Integrate your existing rostering system with Crew through any of our Rostering Integrations. This feature is only available on Crew Enterprise and you can learn how to get started here. 
    • Select a new team member from your phone's address book
    • Enter in their phone number 
    • Send us a list of phone numbers to add
    • Use the Private join page—coworkers can sign up directly on a private web page
    • Use the QR Code feature, either as a print out, a URL, or a scan

    To access the non-integration invite options, head to your Coworkers tab and tap the + button in the upper right corner. Or, head to your Admin tab, tap “Manage coworkers”, and tap on the + button in the top right corner of the screen.

    What Happens Next

    Your new team member will receive a text message with a convenient download link to Crew (unless they are using the Private Join Page or a QR code). Tapping on the link takes them to the app store, where they should download and open the app. Once they verify their phone number they’ll automatically be added to your Organization. It’s a good idea to let the new team member know that you’ve sent them an invitation to Crew so they’ll be looking out for it.

    Team members will be identified in Crew by the exact name they were listed under in your address book, though this name can be changed later on. (See How to Change Your Profile Name.)

    Once the person has joined, each employee in the Organization will receive an “Everyone” message to let them know someone new has joined the team.

    Notes for Admins

    • Subscribers to Crew Pro and Crew Enterprise can choose to allow only Admins to add people to the Organization.
    • All Admins can choose to disable the Private join page for non-Admins.
    • Need to add your entire team to Crew? Select the option that states “Snap a photo of your team’s names and numbers and we’ll add them for you” and send us your team’s contact list.

    Note for Team Members

    If the some or all of the options for adding coworkers don’t show up in your Crew app, it may be because your Admin has designated adding coworkers as an Admin-only function.

     

    How to Add Coworkers to Crew
  • Which plans can make this feature admin-only?     Pro, Enterprise

    Sometimes you’ll need to remove a team member from your Organization. Whether the employee is no longer with the company, was transferred, or was added by mistake, the steps are the same. 

    To remove a coworker, follow these steps:

    1. Go to the Coworkers tab
    2. In the Coworkers section, tap the 3 dots across from the person's name you want to delete
    3. Tap “Remove” 
    4. Confirm the removal

    You can also remove a team member from the Admin tab.

    1. Scroll down to “Manage coworkers”
    2. Select the name of the person you want to remove
    3. Tap "Remove”
    4. Confirm the removal

    Note On the Android app, there is no confirmation step; once you tap “Remove” the name will immediately be erased from your Coworkers list.

    Once you have removed someone from the Organization they will no longer be able to access any of the messages they sent through Crew. Their contributions to older group threads will still be visible to everyone else, so you’ll need to delete those manually if you don’t want them to appear going forward.

    Note Only Admins have coworker-removal capability. If you should be an admin, see how to become one here. 

     

    How to Remove a Coworker From Crew
  • Inviting a coworker to join Crew is as simple as typing in their phone number to the Invite screen. That person gets a text message from Crew, and you’re off to the races! (Your employee uses a tablet with no phone number? No problem. Check out this article.)

    As soon as you send the invite, that person’s name (or phone number) will show up at the bottom of your Coworkers screen with the words “Pending Sign Up” next to it.

    You can go ahead and immediately begin sending messages to that person (though they won’t actually receive them till they’ve joined the app) and assign them shifts and tasks. As soon as they’re invited, they’re in the system.

    Once the person has joined, each employee in the Organization will receive an “Everyone” message to let them know someone new has joined the team.

    What if that proto–team member is taking their sweet time accessing the app in response to your invitation? When you bring up the “Manage Members” screen, you can tap on the pending invite and get the option to “Resend Invite” or “Cancel” it all together.

    If you’re still having trouble getting your invitee out of the pending phase, it might be worthwhile giving them a shout—either through another messaging system, or even in person (!) to let them know that the Crew invite comes from you. Sometimes the personal touch is the best method, especially if your coworker isn’t familiar with Crew in the first place.

    Note If the person you’ve invited leaves your organization before they’ve had a chance to join the app, it’s a good idea to cancel the pending invite, as described above. Otherwise that person may choose to access your organization after it’s no longer appropriate for them to do so.

    What Happens After I Invite Someone to Join Crew?
  • The Private join page gives you another method of inviting people to join your Organization on the Crew app—a new way to encourage your employees to invite others as well. (For other options see How to Add Coworkers to Crew and Add New Employees to Crew Using a QR Code.)

    Enable or disable the Private join link from here

    The Private join page is turned off by default in your Organization settings, but any Admin can enable or disable it at any time by tapping the link itself

    Once enabled, anyone who has the link can join your Organization. So to invite people just send them the link via text message, email, Facebook, or any other way you prefer to distribute it. (If an Admin subsequently turns off the Private join page in the Organization settings, the link will no longer work, even if it has already been sent out to people.)

    • When the Private join page is turned on, a link and a Share icon will appear with it, and you can send the link to whomever you like.
    • Tap on the Share icon to choose whichever method you prefer to share the link
    • Preview the link by tapping on it

    When your recipients click on the link they will see your Private join page, asking them for their name and phone number. They’ll then get a text message with a link to the app. And from then on the experience for the new team member is the same as it’s always been.

    Note Joining Crew via the Shareable join link will only work for an individual employee once; the link cannot even be sent to them twice. In the event that an employee needs to be invited a second time, they must be invited through the standard means.

  • Which plans can use this feature?     Basic, Pro, Enterprise

    The Crew app is a great way to keep your whole team on the same page with Scheduling, Tasks, Meetings, and more. But it only works if everyone has joined the app.

    There are several easy ways to add your employees to your Organization on Crew: phone numbers, email invitations, the Private Join page, and bulk adds. And now with QR codes.

    Using a QR code expands your options for welcoming members of your team to join your Organization on Crew. Simply scan the QR code and

    • Print it out and hang it up at work
    • Email or text it to your team or
    • Team members can scan it directly from the Crew app on your phone

    Admins—Turning on the Code

    The first time you use QR code you must toggle the feature on from the Coworkers tab, or you can turn it on (or off) from the Admin tab at any time (you’ll find it under the “Membership” section.)

    Accessing Your QR Code

    1. Access the QR Code feature from the Coworkers tab
    2. Tap “Add new coworkers” at the top of the screen
    3. Tap “Add using QR code”
    4. You can then choose to
    • “Print QR Code” or
    • “Share as URL”
    • Share the code directly for scanning

    Choose how to share the QR code with a new team member

    A printed QR code can be hung up in a breakroom or elsewhere in your business, where a new employee can easily take a picture of it with their phone’s camera and get connected to the Crew app in short order. Or Share the QR code as a URL in a text or email without needing the employee to be on the premises. Or Have your team members scan the code directly from the Crew app on your device

    Employees—Joining Crew Using a QR Code

    Take a photo of the QR code using your device’s camera. It will instantly add you to the corresponding Organization on Crew.

    You can also scan a QR code for an Organization from within the Crew app by following these steps:

    1. Download the app from the app store
    2. During the sign-up process select “Join Existing.” (Do not “create a new organization.”)

    That’s it—you’re in!

    Note If you’re already a member of one Organization on Crew, you can use the QR code to join another. Just tap on “Join an organization” at the bottom of the Organization Selector screen screen and use the QR code from there.

  • Any team member can choose to block the incoming direct messages from any other team member or admin-- for any reason, and for any length of time. 

    What will the person who set the block see?

    The person who has set the block (let's call that person Jenny) won’t receive any notifications of one-on-one messages from the blocked person (let's say, Chris), and any direct messages Chris sends will go directly to the Archived section of Jenny's Chats tab. Jenny will still receive any messages from groups of which Chris is also a member. She will also see a note under Chris's name in the Coworkers tab as a reminder that he is blocked, and it can also be seen on Chris's Profile screen.

    What will the blocked coworker see? 

    The blocked coworker, Chris, whether or not they’re an admin, will not see any indication that they’ve been blocked, either in one-on-one messages or group messages. 

    There are several ways to set a message block

    • From message details
    • From the Coworkers tab
    • From a coworker's profile page

    How to Block From Message Details

    1. From an existing message thread, tap on any message from your team member
    2. Tap on Details at the bottom right of the screen (where applicable)
    3. Tap the three horizontal dots at the bottom right of the Message Details screen (iOS) / top right of the Message Details screen (Android)
    4. Select “Block”
    5. “Confirm” the block

    1. From the Coworkers tab, tap the three horizontal dots across from the team member’s name
    2. Select “Block”

    1. Tap on the team member’s Profile photo on the Coworkers tab
    2. On the team member's Profile screen, tap on the 3 dots in the top right corner
    3. Tap “Block” 
    4. “Confirm” the block

    How to Unblock a Coworker

    If/when Jenny decides to lift the block, any of the three paths described above for blocking—Message Details, Coworkers tab or Profile screen— can be used. Jenny could also tap on any blocked and archived messages from Chris and choose the “Unblock” option at that step.

    If Jenny needs to send a direct message to Chris, the block must be cancelled (even if temporarily). The option to “Unblock” will automatically appear if a message is initiated, and will need to be confirmed.

    If you want to send a direct message to someone you’ve blocked, you’ll need to unblock them

     

    How to Block a Coworker
  • Admins can choose to temporarily suspend a non-Admin team member’s message-sending capabilities on Crew. Note Suspension is an Enterprise-only feature and must be enabled by a Crew Account Manager. 

    Suspended team members will not be able to send or reply to any messages in Crew—either direct or group messages—for the duration of the suspension. (Crew Calls will also be suspended for that person during the suspension.) They will be able to read all messages, and to participate in all other Crew functions, e.g. shift changes, time-off requests, etc.

    Suspension can last for an hour, 24 hours or 72 hours. An Admin can also decide to end a suspension early (see below for details.)

    There are two ways an Admin can effect a team member suspension: from Message Details and from the Coworkers tab.

    Setting a Suspension From Message Details

    1. From the message itself, tap on the Reaction menu
    2. Tap the three horizontal dots at the bottom left of the Reaction screen (iOS) / top right of the Reaction screen (Android)
    3. Select “Suspend”
    4. “Confirm” the suspension
    5. Choose the duration of the suspension: 1, 24 or 72 hours

    1. From the Coworkers tab, tap the three horizontal dots across from the team member’s name
    2. Select “Suspend”
    3. “Confirm” the suspension
    4. Choose the duration of the suspension: 1, 24 or 72 hours

    Admins will be able to see a notation of the suspension under the team member’s name in the Coworkers tab, along with the time remaining in the suspension.

    If the suspended team member tries to initiate or respond to a message, they will see a note informing them of the suspension. They will also see it noted under their own name in their Coworkers list, along with the time remaining in the suspension. No other non-Admin team members will be aware of the suspension on Crew.
